Job Description Project

FOLLOW THESE PROCEDURES:

Many job descriptions are lengthy lists that detail a myriad of duties instead of a consolidated, prioritized shorter list of major Task, Duties or Responsibilities (TDR’s) combined with a few key Job Specifications also known as the Knowledge, Skills, Abilities and Other (KSAOs) requirements for the job.  Job descriptions that are too narrow require constant updating every time a job changes or management needs to combine positions.  The key here is to balance the job description words so that it becomes a fluid document, so when the work changes, the job description remains valid.

Students must show their research.  A simple Internet search or downloading an already completed job description from a company is not a complete product.  Further, a job description may be incomplete or inaccurate if no one has updated it for some time.  This project will consist of an APA 7th Ed. title page, a one-page narrative double spaced, a one-page job description single spaced, and contain a completed Position Analysis Questionnaire attached at the end.  Review the grade rubric in this document for the point breakdown.  The best way to complete this project is to follow these steps:

Step 1: Select a Position:  Instructor must approve it by the end of Week I at the latest.  This position should be one that            you would like to obtain in the future.  Regardless of what is selected, the requirement is that you cannot 1) do    your own job, 2) one you have had in the past or 3) a government job.  Discuss your concerns with the instructor.

Step 2: After reviewing Chat 1 (recorded in BB) and the power point for Chat 1, to to Onet Online             (http://www.onetonline.org) and enter the job title to gather preliminary information about your selected job.  You          may have to look at more than one job title to complete this task as jobs sometimes have combined positions.     Searching for similar jobs or ones that have common meanings, and combining the information, or by putting one             or two words that relate to key the duties of the job into the search box and then making a comparison to your job      to find the results.

Step 3: Complete one of the position analysis questionnaires (PAQ) provided in the Blackboard course, Week 1.  There   is one for staff who do not supervisor and one for those who supervise.  You may complete the PAQ by observing         someone in that position, speaking with a person in that position or a supervisor/manager of that position.  Make            sure it is voluntary.  It is essential that you complete one of the PAQ’s provided in the online course AND attach        the results to your work.  You may type the answers in the PAQs.  See Step 4F belowon how to attach it.

Step 4: Writing the Job Description and Specifications: [One page, singled spaced]

  1. Read chapter 4 of the course text. Then review the job description power point; note how to transfer job the results from the job analysis into a job description.  Next, review the example job description on page 3 of this document.  Finally, review the grade rubric on page 5 of this document.
  2. Analyze and synthesize your PAQ information and the Onet online results to complete your “job description.” Look for similarities and differences between your PAQ results and Onet.  Decide with is most important, more updated, and which areas might be combined or eliminated.  This is a chance to update and use your professional judgment rather than cutting and pasting an already completed Job Description.
  3. Writing the TDRs:
    1. Use the Job Description Template headings on page 4 of this document
    2. Starting with the most important TD or R, write 7 entries that equal 100% of the time in terms of specifics, such as “Teach 8 class per calendar year 30%.” Don’t forget to use the percentages.
    3. Each TDR starts with an action verb – search the internet for examples lists

Note: Write only 7 in bullet form, some may be a duty, and others may be a task or responsibility).

  1. Writing the KSAOs: Using the same Job Description Template provided, come up with 4 Knowledge, 4 Skills and 4 Abilities (KSAs) for each letter. Do not assume generic O*net wording is appropriate for the position, as these are not keyed to any one job.  In this area, students will need to use discernment how best to format the KSAs for their position.
  2. Address All Other Headings: Don’t forget to seek information about “other job requirements,” such as licensing, required education, etc. Place this information in the required sections.  Education must relate to the position.  Discuss whether education attainment, such as a bachelor’s degree may substitute for experience, where appropriate.
  3. Place the PAQ results as an Appendix – as per APA 7th. You will only be submitted one document online for this entire project.  You may want to scan the PAQ as a .jpeg or take a photo(s) of it and insert it into the Word document of your project.  If you scan it as a .jpeg or take pictures, use fewer pixels.  Students submitting it separately online; making two documents, will not get credit.  No PAQ, no points for the project.

Step 5: Writing How you completed the Job Description (Narrative): This follows the Title page and will be the       second page of the project (see step 6).  Overall, must be between 300 to 400 words double spaced – keep it to          one page.  No written work, no points for the entire project.  See the grade rubric on page 5.

  1. First Paragraph/Section One: The approach here is demonstrate how this position aligns with the company strategy. Guide: 1) name the organization the position falls under, 2) write what the organization does, and the title of your position, and 3) discuss how the job aligns with the organizational structure and strategy.  Review Chapter 4 for help.  In the narrative, summarize what product, information or service is provided by this job.  Keep this to one paragraph; do not forget to cite your work when making a connection to book theories.  Maybe 100 to 150 words.

  1. Second Paragraph/Section Two: In the first-person prose, such as “I first did X.”, write how you went about completing the job analysis to the job description. This includes a step-by-step process of what you did, what written materials you looked at, any observations or who you spoke with (whichever is applicable), listing the resources used, such as O*net (cite per APA7th but no reference page needed), and how you came up with their job description.  Ensure you list a “ah ha” or two; things that you learned or found interesting, odd, etc. about this job.  This paragraph should be 150 to 200 words.  One way to view this area is to “play a movie” in your mind, and they translate it into a written message of what occurred.

Step 6: Organize your pages: Page 1 is the title page, Page 2 – your written narrative, Page 3 is the job             description, and           Page 4 starts with the completed PAQ.  No reference page needed.

Step 7: Submit the project as one Microsoft Word document in Blackboard, in Week One, by Saturday midnight.  No       PDF’s or more than one file will be accepted.  Don’t forget to name your file:             Lastname_HRM409b_JobDescription to avoid point loss.
